Webinar / Workshop Follow-Up Template
A 4-email sequence to follow up after a live or recorded webinar. Delivers the replay, reinforces the key insight, and converts attendees into coaching clients.
Use this sequence after hosting a live webinar, free workshop, or masterclass. The goal is to deliver maximum value to everyone who attended (or missed it), and convert the most engaged viewers into paying coaching clients.
When to use this template
- You've just run a live webinar, workshop, or masterclass
- You want to follow up with both attendees and no-shows
- You're making an offer at the end (or want to introduce one in the sequence)
Two audiences: attendees vs. no-shows
Where possible, use FlowNurture's conditional branching to send different email variations to attendees vs. those who registered but didn't attend. The branching point is Email 1 — the subject and opening line should differ.
If you're keeping it simple, send the same sequence to all registrants. The templates below show both versions where relevant.
The sequence
Email 1 — Replay delivery (within 24 hours)
Timing: Send to all registrants within 24 hours of the webinar ending
Subject — Attendees:
- The replay is up, [First name]
- Thanks for joining — here's your replay
Subject — No-shows:
- You missed it, [First name] — but here's the replay
- Couldn't make it? Catch the replay here
Body (attendees):
Hi [First name],
Thanks for joining [webinar title] today.
The replay is live — [link]. It includes [mention any extras: slide deck, resource list, Q&A timestamps].
The thing I want you to walk away with: [one core insight or framework from the session in 1–2 sentences].
Over the next few days I'll share a bit more on [topic] — including [tease one specific thing in Email 3].

Body (no-shows):
Hi [First name],
You registered for [webinar title] but couldn't make it — no problem.

Goal: Get the replay in front of everyone as fast as possible. The longer you wait, the less relevant it feels.
Email 2 — One key insight
Timing: Day 2
Subject options:
- The one thing I want you to remember from [webinar title]
- [First name], this is the part that changes things
- The insight most people miss
Body:
Hi [First name],
I covered a lot in [webinar title]. But if there's one thing I want you to keep, it's this:
[State the core insight clearly in 2–3 sentences. This should be the most memorable or counterintuitive point from the session.]
Most people I work with try to [common mistake] first. The problem: [why it doesn't work].
[The insight] is the thing that makes the difference.
If you want to go deeper on this — and see how it applies specifically to [your situation/goal] — I'm opening [number] spots for [offer name] this week.

Goal: Extract maximum value from the webinar and connect the insight to your offer. Keep the offer mention brief — the next email does the selling.
Email 3 — The offer
Timing: Day 4
Subject options:

- The next step after [webinar title]
- Who [offer name] is for — and what's included
Body:
Hi [First name],
I want to tell you more about [offer name].
**What it is:** [1–2 sentences on the format — number of sessions, duration, how you work together]
**Who it's for:** [2–3 bullet points describing the right-fit client — specific situation, goals, where they are in their journey]
**What you'll walk away with:** [2–3 bullet points on concrete outcomes]
**Investment:** [Price or range, or link to pricing page]

Goal: Describe the offer clearly without over-selling. The goal is to let the right people say yes while giving hesitant prospects a clear next step (the reply option).
Email 4 — Last chance
Timing: Day 7 (or day before enrollment closes if you have a hard deadline)
Subject options:
- [First name], this closes [tonight / Friday / Sunday]
- Last chance to join [offer name]
- Closing out [month]'s cohort

Quick note — I'm closing enrollment for [offer name] [today at midnight / on Friday].

Goal: Create genuine urgency. Only use a hard deadline if you actually have one — false urgency erodes trust. If you have a real cohort or intake window, this email consistently produces the highest conversion of the sequence.
